H2B TRavel Costs MEmo

 H2B Instructors -

 The Department of Labor requires that employers must reimburse H-2B workers for their reasonable travel and visa costs. 

 As a participant of the H2B program, the resort will only reimburse reasonable costs for visa and travel. This means, the resort will not reimburse such items as seat upgrades, flying first class, extra hotel nights for personal entertainment, or travel to destinations that are not the most direct route to applicable destination.

 If you are unsure, please check with Barbara Farbmacher before finalizing any booking to avoid disappointment.  Reimbursable costs include the following:

1. Visa costs, including visa appointment:  Before you plan on driving a great distance, please research flights… often it is far more economical, not to mention faster, to fly to your embassy appointment.  For example: if you would need to drive 400 miles round trip, and a flight costs $200, please chose the flight!  

2. Inbound travel expenses (to US): Employer must pay for or reimburse H-2B employees for travel from home country to US, including hotel and meals, for all H-2B employees who complete at least 50% of the employment period.

3. Outbound travel expenses: Employer must pay for or reimburse H-2B employees for travel from US to home country, including hotels and meals, for all employees who are dismissed prior to employment end date OR worked until employment end date.

 In order for us to reimburse your visa and travel costs within the required time, you must submit these costs to us upon arrival.   To make it easier on you, here is all of the information you will need… 

Save all Receipts! 

  • Itemized receipts are required for all travel fees and other travel related costs.

  • All expenses must be accompanied by a receipt or proof of purchase. 

  • Make it easy:  take a photo of the receipt so you don’t lose it during the confusion of travel!

  • Feel free to forward your receipts to me as soon as you book – one less thing to remember later.

  • Save all receipts for the Visa Application and Processing Fees.  The standard Visa Application Fee is $190.

Complete the attached form

  • It’s a fillable PDF, so, depending on your computer, you should be able to save a copy and keep adding to it.  You can also print and fill it out by hand.

  • Send your completed form, with receipts, to Sue Clifford or bring it to the Ski School Office at the beginning of your first week of work. 

All Currency Conversions will be calculated using the Average Conversion Rate in the month the purchase was made.
